Streamlining Design Center Scheduling with Quickbase and Outlook Integration
“CloudTern ensured a hassle-free engagement with our Operations Team—proactive, attentive, and easy to work with.”

Challenge
Cumbersome Scheduling Process: Design center meetings were manually scheduled and rescheduled, often leading to miscommunication and overlaps.
Disconnected Calendar Systems: Meeting updates in Quickbase were not reflected in Outlook, causing inconsistencies and missed appointments.
Limited Visibility and Auditability: Meeting history, reschedules, and designer availability were hard to track, with no centralized system to capture changes or the reasons behind them—hindering effective planning and coordination.
Solution
Quickbase-Driven Meeting Management: Built an interconnected scheduling system in Quickbase with linked tables for jobs, designers, and meetings.
A form-based flow handled scheduling, while rescheduling actions automatically triggered updates in a dedicated history table—capturing who made the change, when, and why.
Outlook Integration via Zapier: Used Zapier to create a two-way sync between Quickbase and Outlook. Any update in Quickbase (new or modified meeting) is automatically reflected in Outlook with correct time, attendees, and notes.
Real-Time Dashboards: Built dashboards and filters in Quickbase to provide a live view of all meetings, designer availability, and scheduling history.
